Sales Invoice


Sales Invoice
How to maintain Sales Invoice:
First of all we open our existing company to maintain sales invoice. After this click on task from menu bar and then click Sales Invoicing.



After clicking on task, this window appears:



Now we have to give following information:
·         Customer ID
·         Invoice Number
·         Item
·         Quantity
·         Description
·         Unit price
In above window only one tab is highlighted that i.e. apply to Sales.
We must select that Custom ID so that it show by whom sale invoice is made.
Enter Invoice No. in invoice number column. Invoice no. is used as reference number.
We enter Shipped Via because it tells by which goods have been shipped.
Here we have to select customer id Apply to sales order tab is highlighted as shown in below window.





Now there is highlighted area i.e. apply to sales order, select it.
When we give right number in this tab, the following window opens.


In this step we only tell that number of units which we have to shipped and invoice number.
When we write this, then click on save button and our invoice is saved.

Maintaining Quote And Sales Order

Quotes and Sales Order
How to maintain quotes and sale order:
First of all, we open our existing company
Then click on Task menu from menu bar and click on Quotes/sales order
And then on quotes.



Quotes:
After clicking on Quotes, following window will appear



We have to give following information:  
    1.    Give Customer ID; if you forget to give ID then you can’t save any data.
We have many ways to search customer default window like,
·         Click + button on numeric keypad
·         Pressing Shift and?
·         By double clicking on customer ID

2. Quote number  
3. Quantity 
4.  Description
5.  Item
6.  Amount
After giving all information. Save quote.

Sales Order:

After clicking on sales order, following window appears.


We have to fill the following information:
·         Customer ID
·         Sales Order number
·         Quantity
·         Item
·         Description
·         Amount


After filling information, save all data.

Convert Quote to Sales order:
 Firstly open quote and click on convert button from header.
After this, following window appears.
Then click on convert option and select sales order option.


After this all quotes will successfully converted into sales order.

Maintain Inventory Item

Maintain Inventory Items

in first step, we click on maintain menu, then select inventory item and click on it.


After this, we have this following window.
We have to fill this window as it is.
In this window, we have to fill information about sale.
In this there are three types of accounts.
G/L Sales Account
G/L Inventory Account
G/L Cost of sales Account


Firstly we have to given item ID for every inventory item.
And Description for these items.
We have to select items according to nature.
There are three main tabs.
General Tab
Custom Tab
History Tab


In this step firstly we have choose sale or purchase according to item.
If Raw Material Inventory is item then we choose purchases and if finished goods or work in process is item, then we select sales.
And also select G/L Sales Account, G/L Inventory Account and G/L Cost of Sales Account.


When company wants to manufactured complete units with raw material then we choose assembly units.
We have to select sales because assembly units are for sake of sale.

This step is of Bill of Material, in which we have to select one by one stock then write the quantity needed for manufactured units.
We also added Beginning balance as shown in following window.


In this step we write all item ID and their required information.
After this Inventory Item maintains.

Maintain The Vendor


Maintain the Vendor



Firstly we click on maintain menu, and then click on vendor option. Then this above window appears.
Vendor is your Company supplier who delivers goods from seller to organization.



We have to give Vendor ID and also give the names of vendors.
There are four tabs i.e.
General
Purchase default
Custom fields
History
In General tab we have to tell some basic information of Vendor i.e.
Contact no.
Account no.
Address
Country



Now there are balances of Vendor.
We can enter beginning Balance of Vendor any time.




In Purchase Defaults tab, select Purchase Representation and Purchase account.
It has term option which is written 2% 10.
Net 30 days mean company gives 2% discount.




Next tab is of Customer Field. In this we have to enter all data of customer field.



In History Tab, all vendor information is given, when good is delivering and made permanent.

Customer Default Information


Customer Default Information

First we have to click on maintain option, then select default information and then select customer option.



In Payment term Tab, we have to fill G/L sales account ID, discount G/L account.




Now in Account Aging tab, we have to choose either invoice date or due date.



Next Tab is of Custom Fields. In this we can change the field label and can enter extra information about customers.


In this tab that is financing charges. We have to fill the information about the finance charges and changes of interest on finance charge.



And in the last Tab that is Pay Methods. In this we have to tell about payment methods like Cash, Check, VISA, MasterCard etc.





Maintain Customer Prospects

Maintain Customer Prospects

After maintaining charts of accounts, click on maintain option, then we see customer prospects, and then click on this and this window appears.


Now on general tab, we have to fill following information:
Customer’s id
Name
Address
Contact
Zip code

Now we click on sales defaults tab. In G/L sales accounts, we have to select sales for default of sales account.



Now we click on payment defaults tab, we have to fill the following information:
Cardholders name
Address
Country
And also fill information about the payment like expiration date etc


In this tab, we have to give the information of second contact, reference, mailing list etc



In this tab, we have to give information about last invoice date, last invoice amount etc
